Alumni & Community Engagement Coordinator - Job Summary

The Coordinator is a key team member providing alumni, community engagement, and special events program support while assisting UHF leadership and managing administrative and fiscal duties.

Key Responsibilities

  • Provide administrative support for alumni, community engagement, and UHF special events focusing on discovery, engagement, and stewardship.
  • Assist with data requests, research, drafting event briefings and worksheets.
  • Staff events and manage follow-up communications as needed.
  • Serve as liaison and resource for UH alumni, community partners, leadership, faculty, and stakeholders.
  • Update Foundation database with alumni/donor contact information, contact reports, and inquiries.
  • Organize and coordinate meetings including scheduling, venues, attendance, and agenda.
  • Prepare, draft, and edit written communications such as proposals, reports, and correspondence.
  • Arrange travel, accommodations, meeting logistics, and process related expenses and reimbursements.
  • Support fiscal monitoring by processing expenses, revenues, and invoices.
  • Provide backup administrative and telephone support for UH Foundation offices.
  • Handle sensitive and confidential information.
  • Assist in improving internal processes and promoting inter-departmental relationships.
  • Perform additional alumni, community engagement, and special events functions and special projects as assigned.

Requirements

  • Bachelor’s degree required.
  • Minimum one year progressive experience in non-profit organizations, especially in alumni, development, education, or membership settings preferred.
  • Experience in developing major gift strategies, soliciting and closing gifts preferred.
  • Valid driver’s license and reliable transportation required.
  • Ability to pass background check including driving record.
  • Ability to perform essential functions including sitting for extended periods, occasional standing, walking, bending, reaching, and lifting up to 25 lbs.
  • Proficiency in using office equipment and communication skills both verbal and written.
